Housecall Pro vs. a spreadsheet

Updated November 2, 2026 · QuoteCubby

What Housecall Pro costs in November 2026, what it does that a spreadsheet can’t, and when a free spreadsheet is still the better fit.

From Housecall Pro’s pricing page. The cards also show a short intro price. Every plan lists live phone and chat support, a mobile app available in English and Spanish, and card processing from 2.59%; bank payments are 1%. The 14-day free trial needs no credit card.

What Housecall Pro does that a spreadsheet can’t

  • Online booking from Google or your website, scheduling and dispatch (all plans).
  • Estimates and invoices clients can pay online, plus consumer financing.
  • Review requests, a price book and job costing (Basic and up).
  • Routes, checklists, GPS tracking and QuickBooks Online sync (Essentials and up).
  • Spanish-language app and Spanish-speaking support (Housecall Pro).

If you’re running a crew, those tools save real hours each week, and the cost per job is small once you have steady work.

What a spreadsheet still does well

  • Cost: $0, versus $708–$948 a year for Basic.
  • Your own math: a spreadsheet can hold your formulas (time per room, drive cost, minimum job), so the price comes out the same way every time.
  • Ownership: the file is yours, works offline, and nothing changes when a plan changes.

How to decide

Add up the hours you spend each month on scheduling, reminders, chasing payments and re-typing quotes. If those hours at your hourly rate are more than the plan price, try Housecall Pro (or a similar app) for the 14 days. If not, keep the spreadsheet and check again when you add a team member.
