Free quote template vs. paid quoting apps: what you get and what it costs
Updated November 2, 2026 · QuoteCubby
Jobber, Housecall Pro, Joist, ZenMaid and GoCanvas all do more than a spreadsheet. Here’s what they cost for one person in November 2026, what the extra money buys, and when a free template is enough.
Disclosure: QuoteCubby makes the free calculators and templates mentioned here and sells optional one-time spreadsheet kits. We’ve tried to keep this fair, and we say where the paid apps do more.
Short answer
If you work alone, send a handful of new quotes a week and already have a calendar and a way to get paid, a free template or calculator is usually enough to send clear, consistent quotes. Once you need online booking, online payments, automatic reminders or a team on one schedule, a paid app does that work for you and is often worth the monthly fee.
What the paid apps cost for one person (Nov 2026)
| Tool and plan | Per month, billed monthly | Per month, billed yearly | Users / limit | Source |
|---|---|---|---|---|
| Jobber Core | $49 | $29 | 1 (extra users $29/mo) | Jobber |
| Housecall Pro Basic | $79 | $59 | 1 | Housecall Pro |
| Joist Pro | $17 | $14.17 | 1 | Joist |
| ZenMaid Starter (cleaning only) | $19 | — | Up to 40 appointments/mo | ZenMaid |
| GoCanvas Essentials | — | $29 per user (3-user minimum = $87) | 3 minimum | GoCanvas |
| QuoteCubby free calculator + template | $0 | $0 | Anyone | QuoteCubby |
Starting plans only, as listed on each pricing page. Jobber also offers a 1-year commitment at $39/mo for Core. Housecall Pro’s cards also show a short intro price. Joist’s cheapest plan, Basics ($10/mo), allows 5 documents a month. GoCanvas is a digital forms and workflow tool used for inspections and estimates, and is priced per user. Card processing is extra on all of them.

Where the paid apps are better
- Everything in one place. Quote, schedule, invoice and get paid from one phone app. Jobber’s Core plan lists online booking, quotes, invoices with online payments and a simple website (Jobber).
- Getting paid faster. Clients can pay invoices by card online (Jobber lists 2.9% + 30¢; Housecall Pro says card rates start at 2.59%) (Jobber, Housecall Pro).
- Less chasing. Automatic quote and invoice follow-ups and visit reminders (Jobber Connect and up).
- Teams. Users, dispatch, GPS and route tools on team plans. A spreadsheet can’t do that.
- Spanish for crews. Housecall Pro says its app is available in English and Spanish, with Spanish-speaking support (Housecall Pro). Jobber says its mobile app is also available in Spanish for select team members (Jobber).
Where a free template or calculator is enough
- You’re just starting out, or doing this part-time, and $350–$950 a year for software is a big share of your profit.
- Your problem is the price itself, not the paperwork: you want to know what to charge and what the job really pays per hour after driving.
- You want a quote you can text in English or Spanish today, with no account and no trial ending.
A sensible path
- Start with the free calculator and quote template to settle your prices.
- Track how many quotes you send and how much time you spend chasing payments and reschedules.
- When that admin time is worth more than the monthly fee, start a free trial of a paid app (Jobber and Housecall Pro both list 14-day trials with no card needed) and move your prices in.
